Units  |  Administration

The Administration Team is responsible for the smooth daily running of the Program Secretariat. They coordinate the activities of all units by consolidating workplans and ensuring that tasks are executed on time. The team compiles reports from the various departments and maintains updated records on all Scholars for tracking and reference. They also serve as the primary point of contact for external partners and stakeholders, helping to organize learning visits, respond to inquiries, and promote the Program’s visibility. By facilitating participation in workshops and sharing best practices, the team helps strengthen the network of partner institutions.

Scholar Onboarding (Akwaaba)

The onboarding process, known as Akwaaba, begins once a Scholar is awarded a Scholarship and enrolled. Scholars are required to submit documents including their admission letter, Scholarship offer, agreement form, and valid ID. After submitting, they update their information online and receive a welcome package. The Administration Team, together with the Finance Team, also assists with opening bank accounts for the Scholars. Finally, an orientation session is organized to welcome new Scholars, introduce them to the Secretariat staff and units, and provide an overview of the Program’s structure and support systems. This helps Scholars settle in and feel part of the community from the beginning.

Scholar Support Services

The Support Services Team ensures Scholars receive the full benefits of the Program, covering both academic and wellbeing needs. Academic support includes payment of tuition fees (excluding resits), a Books and Stationery Allowance for eligible Scholars, and provision of textbooks, clinical tools, or supplies based on departmental recommendations. Final year Scholars receive an allowance to support their academic projects, while those in professional programs benefit from coverage of licensure or certification fees. On the wellbeing side, Scholars receive monthly stipends, provided they are registered for the semester. To address nutritional challenges, the Program runs an evening meals policy. Scholars also participate in special events such as Monthly Dinners for networking, the Vice Chancellor’s Reception for new Scholars, and Progressive Dinners to close the academic year.

Engagement with Scholar Bodies

To support Scholar leadership and peer involvement, the Secretariat works closely with key Scholar-led groups. These include the Scholars Council, which represents student interests, the Alumni Community, which connects graduates back to the Program, and groups like Peer Counsellors, Peer Mentors, and PwD Ambassadors who provide guidance and advocate for inclusion. These bodies help enhance Scholar wellbeing, foster mentorship, and create a supportive and inclusive academic environment.
